How to use the project auto-numbering

Overview

To streamline project management and improve organizational efficiency, we have introduced the Project Auto-Numbering feature. This new enhancement automates the assignment of prefixes and codes to projects, which many users have previously done manually. With this feature, projects can now include a customizable prefix and automatic numbering sequence that appears before the project name.

This automation simplifies the project creation process. Users can save projects as templates and specify a prefix of up to three letters and an auto-numbering sequence of up to six digits. Additionally, for better visual categorization, users can select a color to associate with each project.

Who can use this feature?

Members with the status of Project manager or higher can benefit from the project auto-numbering feature.

Where can I find this feature?

To use project auto-numbering, you need to create a project and turn it into a template, or turn one of your existing projects into a template. By doing this, you'll be able to set up a prefix and auto-numbering. To learn more about how to do this, read this help page.

How to set up the project auto-numbering?

Once you’ve learned how to work with project templates, either by creating a project and turning it into one, or turning one of your existing projects into a template, you will be familiar with the following popup:

Then, you should just click on the “Settings” tab, and then you can use the text box for entering the prefix and auto-numbering of the project:

NOTE: You can hover over the tooltips, the question mark’s icon, and get more details for the rules you need to follow for the prefix and the auto-numbering. Also, in this part you can choose a color for your project.

From now on, whenever a user creates a project based on this saved template, the project name will follow this order: color, prefix, auto-numbering, and project name. The project color, prefix, and auto-numbering will be shaded when creating new projects based on the template you saved:

How to modify the project auto-numbering values

If you want to, you can change or edit the project color, prefix, and auto-numbering from the Template center module. You simply need to go to the Template center from the left menu, select to edit the template, and navigate to the settings tab to make the desired changes.

New projects created after the modifications will display the updated options, while older projects will remain unaffected.

That’s it! Now this setup will be visible throughout the application in grids, Gantt charts, lists and more. Enjoy a more organized project management!
